Easily create PDF files from your form submissions and email them to yourself or your customers with the Formstack Documents integration.
The steps included below take you through how to connect your Formstack Form to an existing Formstack Document. If you haven't already built your template, we'd recommend starting there before following the instructions below. For more information on building a document template, please check out this article.
Install the Formstack Document integration to a Formstack Form
Step 1: From your Formstack Form, navigate to Settings (gear icon) and select Integrations from the options.
Step 2: Type in Formstack Documents or select “Documents” from the available integrations and select Add:
Step 3: On this page, you'll need to add the API Key and Secret from your Formstack Documents account. You'll want to login here and then navigate to the top right to find and copy this information to a clipboard and paste it into the fields.
NOTE: If you do not have a Formstack Documents account, select Start Free Trial, and follow the prompts to add the app.
Copy and paste the API information and chose the authenticate option for next steps.
Step 4 a: From the Formstack Documents integration setup page, select whether you want to import an existing document or create a new document using this form:

Choose document: Select to choose a pre-existing document in your Formstack Documents account. Then match up the merge fields with the fields on your form.
- Note: If your document contains a checkbox field(s), this field has its own merge field to trigger a checkbox to display properly.
- Create a new document using this form: This will auto-create a document in Formstack Documents with your form HTML and set up the integration and auto-map all the fields.
(Optional)Step 4b: Toggle to Data Route under Type if you wish to send incoming data to multiple documents in your account and choose the route. For more information on Formstack Documents Data Route feature, check out this section.
Note: To use this, you will first need to create a Data Route in your Formstack Documents account and then define your Rules and Settings in Formstack Documents. This will determine how and where the data submitted in the forms will populate the data in your Formstack Documents files. Data Route rules in Formstack Documents differ from the Data routing rules on forms.
Step 5: After selecting your Document, you'll want to map the Formstack Fields or internal labels to the merge fields on your Document. For more information on internal labels, check out this article.
Note: If you want to add additional Fields to your new Document, you will need to make sure you refresh the document selection on the Formstack Documents integration page to reveal the additional fields for mapping purposes. As a best practice, we'd recommend refreshing this document on the integrations page each time there are any changes made to it.
Step 6: After you've finished with mapping your information from your Form to your Document template, you'll have the option to test or turn on the integration at the top of the integration section.
We'd recommend running a few test submissions to make sure everything on your document is working as expected.
Note: If you want to add additional Fields to your new Document, you will need to make sure you refresh the document selection on the Formstack Documents integration page to reveal the additional fields for mapping purposes. As a best practice, we'd recommend refreshing this document on the integrations page each time there are any changes made to it.
