Form users can configure list-type field options like dropdown, checkbox, and radio fields to use separate labels and values to display one thing to a submitter and capture a value associated with it including smart lists! Apply these fields in Workflows to map separate labels and values to any mappable field.
Create separate label and value fields in Forms
Before creating a workflow, create fields in the Form(s) you will want in your workflow.
Follow the outlines provided in either:
- Separate Values or
- Smart Lists (using Separate Values)
Navigate to mapping
Step 1: Open a workflow. From the Formstack Account, select Workflows from your App Stack. Select a created workflow or select “Create New” to build one.
Step 2: Edit a step. From the workflow, select the three dots on an individual step to edit.
NOTE: Steps that can include separate value data must be the second or any following steps and must follow a Forms step.
Step 3: Toggle to Step Builder > Mapping.
Map separate values
1. Standard separate values
Use standard separate values to map data from a step in the workflow to sequential steps. This is beneficial for use cases like having an end-user select a name from the dropdown, but have the value represent the email address to use as a step assignee. Read more on creating separate values.
From the Step Builder tab > Mapping, drag and drop the separate value field from the Workflow Data section:
Once finished, select Done to save. Repeat for each desired workflow step.
2. Smart List separate values
Within a workflow step, you can map separate values from list-type fields and Short Answer fields that are connected to a Smart List and configured with separate values.
For example, if you map a Smart List with separate values to a Short Answer field you could then begin typing a name, that’s listed in the Smart List, to populate an autocomplete feature.

From the Step Builder tab > Mapping, drag and drop the separate value field from the Workflow Data section:
3. Email separate values
If a separate value represents an email address then it can be used as the assignee in a Forms or Forms for Salesforce step:
From the Step Builder tab, select Assign Step and drag and drop the separate value field into the Email. Read more on assigning workflow steps.
Email addresses, used as a separate value, can also be used to assign a participant in a Sign step:
In a Sign step, from the Step Builder tab > Participants, drag and drop the separate value field into the Email.
