Integrate with BambooHR to streamline your HR processes. From tracking candidates and managing the hiring process, BambooHR is a great resource to partner with Formstack apps like sending the HR data with Formstack Documents to automatically generate offer letters, reviews, or contracts and send them to Formstack Sign for an e-signature.
Setup Document
Step 1: Set up a template for an HR request within a Word document. Within the template, use merge fields like {$FirstName}, {$CompanyName}, {$Amount} to capture an employee's information and an anchor tag to capture where a signature(s) should be placed \s1\.
Step 2: Upload the template to Formstack Documents. Select New Document, enter a name and choose "I have a document I would like to use" from the dialogue box.
Note: You may also use a template or build from scratch right within the Formstack Documents app. See here for more information.
Step 3: Pick how you want it delivered and select Next.
Step 4: Choose to Integrate with an external service from the "Choose where the data will come from" dialogue box and select finish to be taken to your uploaded document.
Step 5: Under the Settings tab, customize the settings to fit your file naming system. Then under Advanced Settings select:
- Save Data to Re-Merge / Download Later
- User Field Map for custom integrations
Step 6: Send the document to Formstack Sign for signature. Under the Delivery tab, select "Click here to create a delivery" and choose Formstack Sign from the options.
Step 7: Authenticate your Sign account and pick which merge fields to use for the name and email address of the employee. This will allow Formstack Sign to email the employee with a link to sign the contract.
Note: Sending to Formstack Sign is one way to have the document delivered. You could also send an email instead under the Delivery tab.
Connect to ActiveCampaign
After you have updated your delivery, set up the process inside Formstack Documents to integrate with BambooHR.
Step 1: Copy the Merge URL under the Merge tab and copy the Merge URL.
Step 2: Sign in to BambooHR then under Accounts select the Webhooks link.
Note: If you don't have webhooks turned on, email the support team at BambooHR to do so.
Step 3: Add a New Webhook and choose Employment Status as the field to monitor (or customize further to your needs!) and pick the fields to send to your document using the same merge field names set up in your Word template.
Step 4: Paste the Merge URL for your Formstack Document and choose either the JSON format or form format for the data feed.
Step 5: Save the setup to start the webhook. Moving forward, BambooHR will automatically send data to your document when you add a new employee.
