Connect Formstack Documents and Netsuite to automatically populate document templates with data from Netsuite.
Set up Document
Step 1: Set up a template for a quote within a Word document. Within the template, use merge fields like {$FirstName}, {$CompanyName}, {$Amount} to insert your customer and opportunity information.
Step 2: Upload the template to Formstack Documents. Select New Document, enter a name, and choose "I have a document I would like to use" from the dialogue box.
Note: You may also use a template or build from scratch right within the Formstack Documents app. See here for more information.
Step 3: Pick how you want it delivered and select Next. You may, for example, want to email it to your customer. For this, edit the default email delivery and ensure the "To" address correlates with the merge field for your customer’s email address.
Step 4: Choose to Integrate with an external service from the "Choose where the data will come from" dialogue box and select finish to be taken to your uploaded document.
Step 5: Under the Settings tab, customize the settings. Then under Advanced Settings select:
- Save Data to Re-Merge / Download Later
- User Field Map for custom integrations
Connect to Netsuite
After you have set up your email delivery, you can then set up the connection to Netsuite using an automation connector like Workato.
Step 1: Inside Workato, create a New Recipe. For the trigger, choose Netsuite as the app, then New Standard Object as the trigger.
Step 2: Authenticate your Netsuite account.
Step 3: Pick the standard object to pull data from. This is often the Opportunity object.
Step 4: Set up the action of the recipe. Choose Formstack Documents as the app then Merge Document as the action.
Step 5: After you authenticate your Formstack Documents account, Workato will load the list of documents in your Formtack account. Here, find and select the created template and Workato will load a list of the merge fields in the document.
Step 6: Pick the corresponding field from Netsuite for each merge field. In return, this will populate data into the correct spots within your template.
Step 7: Test the integration. Once the recipe has been completed, log in to Netsuite and add a new opportunity. Workato will detect the opportunity, send data over to Formstack Documents, and then your quote will be emailed out.
