Get started building your first workflow! The workflow automation suite ties Forms, Documents, and Sign together into one system —Workflows.
Prerequisites to get started
Prior to creating a workflow, set yourself and your team up with success:
- Ensure you have access to the appropriate Forms, Documents, and Sign apps or folders to add and configure assigned building steps.
- Decide who in your Formstack organization may access and contribute to your workflow.
- Familiarize yourself with forms and document template best practices for workflows compatibility.
Build a workflow
Step 1: From the Workflows Home or Workflows tab, select Create new workflow on the top right:
Step 2: Give your workflow a name and description.
Step 3: The workflow builder will list all apps accessible from your Platform account. Drag and drop or select the plus (+) icon on the Forms or, if a part of your app stack, the Forms for Salesforce element to begin a workflow.
NOTE: All workflows must start with a Formstack Form, Forms for Salesforce or API step.
Step 4: From the step, choose whether to select an existing form or create a new form to begin the workflow.
Step 5: Once the form is added, hover over the step and click Edit to configure the step. The first step allows you to create step messages under the Step Builder tab.
Step 6: Click Done to save the first step’s configuration.
Step 7: After the first step is configured, all Formstack app’s in your Platform account are enabled to add as the second step. Drag and drop the next app into the workflow.
Step 8: For each consecutive step, choose whether to select an existing form or document:
Step 9: Select Edit on each individual step to configure. Configurations vary by Formstack app:
- Configure Form Steps
- Configure Documents Steps
- Configure Sign Steps
- Configure Forms for Salesforce Steps
Continue to build out your workflow with a minimum of two steps.
Distribute workflows
Once the workflow is built, distribute it to participants to begin to collect data. Select Share Workflow to copy the populated URL.
NOTE: URLs cannot be renamed.
