Understandably, some document information should only be accessible by a chosen person or team. Enable extra security with the use of password (or specific merge-field) protection from the document settings or email delivery; here’s how!
This feature is not compatible with eSig platforms (ie Sign, Docusign, or Adobe Sign) at this time.
Password protect PDFs from Settings
Step 1: From your document template, select the Settings tab and open “Advanced Features.”
Step 2: Check “Password Protect File” from the given options and enter a password of your choosing or a merge field written as {$fieldname}.
Step 3: Select Save Settings to capture the newly updated document template settings.
Note: Once your data is encrypted, we cannot access it nor do we have the ability to view or change your encryption password.
Password protect PDFs in an email delivery
You may also set up password protection solely for documents sent through email delivery.
Step 1: From your document template, select the Deliver tab, click “Edit” on the email delivery setup, and select the “+ More Options” button.
Note: If you do not have email as a delivery option, select the “+ New Delivery” button from the Deliver tab and choose “Email” from the listed options.
Step 2: Check “Secure Your Document” from the given options to unveil a Medium or High-security option:
Medium: This level allows your recipient to access the document unlimited times.
- Medium - Merge Field: Enter a merge field {$name} the recipient must fill out to access.
- Medium - Specific Password: Enter a password of your choice for the recipient to access.
High: This level allows your recipient to access the document once.
- High - Merge Field: Enter a merge field {$name} the recipient must fill out to access.
- High - Specific Password: Enter a password of your choice for the recipient to access.
Note: Passwords and merge fields are not emailed to your recipient; these must be given outside of Formstack.
Step 3: Select Save Delivery to capture the newly updated document template settings.
Once you have set up your encrypted documents, your recipient will receive a secured PDF attachment via email.
If password protection is toggled on in Settings and email delivery, it will default to the security settings set up in Settings regardless of different security levels.
