Whether you are an administrator who wants to review pieces of submitted data in a workflow, or a standard or workspace user who has to provide an approval, the Workflows new and improved Workspace allows you to view complete context involving a workflow. This means being able to see a clear picture of what information was submitted and what previous steps have been taken, as well as by who.
Here is how it works:
From the dashboard, you can click View in the Submission data column to head over to the Workspace, where all data across workflow instances lives.
Note: This dashboard includes a Workflow identification feature, which allows you in Settings to set up how you’d like workflow instance names to appear. This is tremendously helpful for navigating / finding workflow instances. If you don’t set one up, you’ll see a string of characters.
If you are a Forms customers and you already have the Workflows Pro Add-on, then you will be able to see this new and improved dashboard in Workspace where all your workflow instance information now lives.
You can view your workflows on the left side panel, and navigate each tab to view all instances. Your outstanding assigned tasks, and your completed tasks are indicated by the status column and you can use the tabs at the top to filter by the status type.
Once you click into an instance, you will be able to complete a task that is assigned to you and have the ability to view all prior steps that have taken place.
Note: it is important to remember that users will only be able to see submission data for information they have access to per their role permissions that you have set up. If a user does not have access to view a certain form, they will not be able to view submission data for that form step in a given workflow.
