Overview
Authentication tokens in Formstack Documents (formerly WebMerge) are used to securely connect your account to external services such as CRMs, cloud storage providers, and other integrations. Over time, these tokens may expire, become invalid, or be revoked due to security or permission changes.
When this happens, you’ll need to reauthenticate the token to restore the connection and ensure your document workflows continue to function properly.
When Reauthentication Is Required
You may need to reauthenticate a token if:
A connected integration stops working
You receive authentication or authorization errors
The external service revokes access (e.g., password change, admin policy update)
The token has expired (common with OAuth-based integrations)
Typical symptoms include:
Failed document deliveries
Errors in merge or delivery logs
Missing files in connected storage systems
Steps to Reauthenticate a Token
1. Access Your Formstack Documents Account
Log in to your Formstack Documents account:
Navigate to https://documents.formstack.com
Enter your credentials
2. Open the Connected Service
Depending on how the token is used, go to one of the following areas:
Connected Services / Integrations
Delivery Settings within a specific document
Account Settings → Integrations
Locate the integration that is failing or requires reauthentication.
3. Identify the Affected Connection
Look for indicators such as:
Error messages
“Disconnected” or “Authentication Required” status
Warning icons
Select the integration or service to view its configuration.
4. Reauthenticate the Token
Click the appropriate button, which may be labeled:
Reconnect
Reauthenticate
Connect
Edit Connection
You will be prompted to:
Log in to the external service (e.g., Google Drive, Salesforce, Dropbox)
Grant permissions again (OAuth flow)
Confirm access
Once completed, Formstack Documents will store a new valid token.
5. Save and Test the Integration
After reauthentication:
Save the integration settings
Run a test merge or document delivery
Confirm the issue is resolved
Check:
Delivery logs
Output locations (e.g., CRM, storage provider)
Best Practices
Monitor integrations regularly to catch expired tokens early
Use service accounts or admin-approved credentials when possible
Avoid changing passwords tied to integrations without planning for reauthentication
Document which integrations rely on specific tokens
Troubleshooting
If reauthentication fails:
Ensure you have the correct permissions in the external service
Check for browser pop-up blockers during OAuth flows
Confirm that your organization hasn’t restricted third-party access
Try disconnecting and reconnecting the integration entirely
If issues persist, contact Formstack Support with:
The name of the integration
Error messages or screenshots
Timestamp of failed attempts
Summary
Reauthenticating a token in Formstack Documents is a straightforward process that involves reconnecting an integration through the platform’s interface. Keeping tokens up to date ensures uninterrupted document generation and delivery across your workflows.
