Google Drive is a free service that lets you bring your photos, docs, and videos anywhere and share them easily. Integrating Google Drive with your Formstack form will allow for uploaded files to be sent directly from a form submission to your Google Drive account!
The intended functionality of the Google Drive integration is that uploaded files (via the File Upload field on your form) - not the actual submitted form data - are sent to Drive upon submission instead of to Formstack's default AWS server.
To integrate Google Drive with your form, go to the Settings tab > Integrations, then either search the 'Available Integrations' for 'Google Drive' or click the 'Documents' icon and find it in the list. Click 'Add' next to the integration, then 'Settings'.
Next, click the 'Login to Google Drive' button or click to copy authentication credentials from a form that already has Google Drive integrated.
If you chose to login, you'll need to login to your Google Apps account and grant access to Formstack.
Next, choose a Folder and File Path. You can select an existing folder from your Drive account. In the integration settings, you can also add a file prefix and description using field variables from the form. This can allow you to more easily identify and associate the file in Google Drive to the submission in Formstack. These settings are optional.
Note: If you want to create a new folder, you just have to go to Google Drive and set that folder up and then it will show in the integration next time you choose your Folder from the integration settings.
Error Handling
To receive an email if the integration fails, add an email address in the 'Email On Failure' field. You can enter more than one address, but make sure to enter them one per line.
Once you have your settings and all the required fields mapped, switch the integration to "ON" via the switch in the top right corner of the integration settings. If you leave the switch "OFF", the integration will be inactive and will not run.
Tips:
- You must have available storage in your Google Drive account in order for the files to be successfully transferred.
- In general, you are able to upload a maximum of 500MB of data per form and a maximum of 50 file upload fields to Google Drive from a form.
- You can bypass our storage limit when you integrate Drive because the files are stored in that app, not Formstack, with an access link still available in each submission. The file transfer limit of 500MB will still apply when uploading a file to Drive.
- Google Accounts is not set up to manage large numbers of tokens, and, in fact, does not allow more than 25 valid tokens (per user, per web application) to be outstanding at any one time. This means that a unique username/password combination can only be used in 25 total instances, which includes Google Sheets, Google Drive, Google Contacts, and Google Calendar.
