If you're looking for a way to generate custom documents based on your Forms submissions, we've got a perfect solution.
The steps included below take you through how to connect your Formstack Form to an existing Formstack Document. If you haven't already built your template, we'd recommend starting there before following the instructions below. For more information on building a document template, please check out this article.
First, you’ll need to connect your Formstack Forms and Formstack Documents accounts. In your Formstack form, you can do this by navigating to the Settings tab, selecting Integrations, and choosing Formstack Documents.
The first time you set up your Formstack Documents integration, you’ll need to have the API Key and API Secret from your Documents account ready. You can find that information inside of your Documents account by selecting your profile from the top right and choosing API Access.
After you've copied this information to your clipboard, you can paste it into the account information on the integration page and click "Authenticate"
Note: After you've successfully authenticated your account, these credentials can be copied over into other Forms
Once you’ve connected your accounts, you will be given a few options. You can either choose an existing single document or data route from a list in your account or you can create a brand new document template using the fields on your form.
Note: Data routing allow you to send data to multiple documents instead of a single document. For more information on setting up a data route within Formstack Documents, check out this section. Data Route rules in Formstack Documents differ from the Data routing rules on forms.
After you've made your selection, you'll see a new section for mapping the fields from your form to the merge fields on your Document as well as a field for emails that could be used for getting notified of integration errors.
Note: In this section, you can also toggle the internal labels to be mapped to your Formstack Fields if needed. For more information on internal labels, check out this article.
After you've finished with mapping your information from your Form to your Document template, you'll have the option to test or turn on the integration at the top of the integration section.
We'd recommend running a few test submissions to make sure everything on your document is working as expected.
Note: If you want to add additional Fields to your new Document, you will need to make sure you refresh the document selection on the Formstack Documents integration page to reveal the additional fields for mapping purposes. As a best practice, we'd recommend refreshing this document on the integrations page each time there are any changes made to it.
