Managing your business from Quickbase can keep your information organized and can streamline major portions of your day-to-day operations. But as with almost any business, there is a massive amount of data that needs to be collected & input into your database. Manually collecting data via email, phone calls, in-person & then having to manually key it into Quickbase can be time-consuming & painful!
By adding Formstack Forms to the picture, you can cut the time you spend on data collection to almost zero. With Formstack Forms, you can automate the creation of records in your Quickbase app from any of your form submissions. This saves countless hours of manual data entry & allows you to focus more on things that matter.
Integration Setup
Step 1: Build a Form in your Formstack Forms Account.
Step 2: Create a New Pipeline in Quickbase Pipelines.
You can do this by logging into your Quickbase Pipelines account, clicking the “Create Pipeline” button & giving your new pipeline a name and description.
Step 3: Choose Formstack Forms channel & trigger
- Click the Formstack Forms Channel
- Drag the “Submission Created” trigger over to your first step section in your Pipeline
Step 4: Connect your Formstack Forms Accounts
Click the Account dropdown and choose to connect your account.
If you have a Formstack Forms account, simply follow the prompts to login to your account & this will automatically connect your Formstack Forms & Quickbase Pipelines accounts.
If you don’t have a Formstack Forms account, simply choose the “No, sign up now” option & you will be guided to set up a trial.
Step 5: Select a Form
From the dropdown, select a form that you’d like to use in this pipeline. In our example, we’ll choose our “Client Intake | Quickbase” form.
Step 6: Choose Quickbase & Your Action
Next, you’ll need to select your app & action step that you want to happen upon your form submission.
In this example, we want to create a new account on every form submission. Therefore, we will choose Quickbase as our app and “Create Record” as our action. Simply drag the “Create Record” action over as your next step.
Step 7: Choose the Quickbase Account & Table
You’ll need to choose the correct Quickbase app from the Account dropdown.
Then you’ll need to choose which Table / Object that you’d like to create a new record for with each form submission. (ie. Account, Contact, Opportunity. Lead...etc).We’ll choose Customer Manager as our Account & Accounts as our table in our example here.
Step 8: Map Forms Fields to Quickbase Fields
Next, you’ll need to setup a 1 to 1 mapping of your form fields to the fields that you want to populate in your newly created record in Quickbase.
You’ll need to first select the fields in your Quickbase table that you want to populate with your form data.
Once you select your Quickbase fields, you will see the fields dynamically pop up below with boxes next to each field. Now you just need to map your Form questions to your Quickbase fields.
To map your fields, you’ll simply drag the Form question that is in the dialog box on the right & drop it in the box that lines up with the Quickbase field where you want to send the data.
Step 9: Test your Pipeline
You can test your new pipeline by turning on your pipeline & making a form submission on your selected Formstack Form. Make sure a new record is created in Quickbase with the submitted data.
